Your role

You are passionate about service and hospitality.
As our front-desk & admin officer you’ll be at the heart of the coworking space, welcoming our members and visitors, answering questions and managing our lobby as the perfect host. Besides that, you will assist our workspace officer with the post-sale process; reviewing contracts, following-up on documentation and invoicing and coordinating move-in’s (and outs) of new members.
As you will be working in a small team of 5, backing each other up is key.

Your mission

  • Ensure that members and visitors get the best possible welcome during the opening hours, as you aim to achieve a high hospitality level

  • Make energetic small talks and try your hand at a range of languages: oui, si, nein, mevrouw, monsieur

  • Answer questions of our members and guide walk-in guests towards your customer relations colleague with a commercial flair

  • Take care of the incoming mail and packages, and other various admin affairs

  • Dispatch & handle incoming requests and reservations for the meeting rooms

  • Make sure that the meeting rooms look flawless before the guests arrive, as you want them to have a perfect customer journey

  • Follow up with your team for preparing the move-ins & outs of new members f.e. preparing the access badges, keys

  • Handling questions and resolving member issues in collaboration with suppliers and providers (IT, logistics, maintenance...)

  • Assist the workspace officer with the post-sale administration, including reviewing the contracts, requesting documentation from new members and reviewing the monthly invoicing

  • Make sure our CRM system is always up to date with new info from new members, adaptations, etc.

  • Assist the workspace officer in the monthly reporting of workspace sales

What we expect

  • You’re fluent in French, Dutch and English, both oral and written.

  • You’re a natural people person, driven by customer satisfaction.

  • By nature, you’re caring, and don’t need any prompting to work.

  • You’re ace at on-the-spot problem-solving, are hands-on and can devise and realize solutions quickly.

  • You value lifestyle, design, art and culture.

  • You have a bachelor degree in a relevant field.

  • Oh, and last but not least, your friends might joke about your color-coded agenda or love for organization and structure; we’ll more than appreciate it!
